The Association des personnes handicapées visuelles de l’Outaouais (hereinafter referred to as the “A.P.H.V.O.“) is committed to maintaining your trust and adhering to the following privacy policy (hereinafter referred to as the “Policy”) to protect the confidentiality, security, and accuracy of the personal information it collects, holds, uses, or discloses in accordance with applicable legislation. We have defined this Policy to explain our practices regarding personal information that we collect when you become a member, purchase a product or service, or visit our website, https://aphvo.org (hereinafter referred to as the “Website“).
Scope of the Policy
This Policy takes into account the requirements of the law respecting the protection of personal information in the private sector, R.S.Q., c. P-39.1 (hereinafter referred to as the “law“) and any other applicable law.

The A.P.H.V.O. does not knowingly solicit or collect any personal information directly from minors under fourteen (14) years of age. If the collected personal information concerns a person under fourteen (14) years of age, the authorization of the parent or guardian will be required, except as provided by the Law.
What Personal Information Do We Collect and Why?
The A.P.H.V.O. collects, holds, uses, or discloses personal information only with your consent and only for the purposes identified below, unless required or authorized by law. For any other use of your personal information, your consent will be requested.
The personal information we collect is only what is necessary to provide our activities and services and for the purposes identified in this Policy, including:
- Membership with the A.P.H.V.O.: first name, last name, postal address, phone number, email address, date of birth;
- Communications between the A.P.H.V.O. and the member: first name, last name, postal address, email address, phone number;
- Volunteering with the A.P.H.V.O.: first name, last name, postal address, phone number, email address, age;
- Subscription to the newsletter: first name, last name, and email address;
- Participation in A.P.H.V.O. activities: first name, last name, email address, phone number;
- When you make a donation to the A.P.H.V.O., a registered charity duly recognized by the Canada Revenue Agency. As such, it can receive donations and issue tax receipts. To do so, the A.P.H.V.O. has entrusted the management of its donations to CanadaHelps.
- When you make a donation to the A.P.H.V.O., only your first names, last name, and email address will be transmitted by CanadaHelps to the A.P.H.V.O., unless an anonymous donation is made, in which case no information will be transmitted to the A.P.H.V.O.. We will use this information to send you a thank you email via the CanadaHelps platform.
- Donation made by phone by calling the A.P.H.V.O.: credit card information, first name, last name, card number, three-digit code on the back of the card, and email address. The A.P.H.V.O. will use this information to send you a thank you email and, if applicable, a tax receipt.
- Donation made by sending a check to the A.P.H.V.O. offices: information written on the check, first name, last name, email address, and postal address. The A.P.H.V.O. will use this information to send you a thank you email and, if applicable, a tax receipt.
- When browsing our Website: certain information is automatically collected. We invite you to consult the section on cookies below.
We take reasonable steps to protect all personal information collected by adopting appropriate security measures.
Retention of Personal Information
The A.P.H.V.O. uses, discloses, and retains your personal information only for the duration necessary to achieve the purposes for which the personal information was collected and as permitted or required by law.
However, as soon as you withdraw your consent or if your consent expires, the A.P.H.V.O. may still retain your personal information, without using it, according to a retention schedule established in compliance with laws and its needs.
Security Measures
All personal information collected by the A.P.H.V.O. is stored in secure locations and on controlled servers located, as much as possible, in Quebec. However, our service providers may store personal information on servers located outside of Canada and be subject to the law in force in that country. We take reasonable steps to ensure that your personal information is adequately protected in accordance with this Policy.
We limit access to personal information to authorized members of our staff whose functions require such access. Authorized personnel are adequately trained to ensure the protection of personal information and respect for privacy.
We ensure the destruction or anonymization of personal information when it is no longer needed and the purposes for which it was collected have been fulfilled, meaning that the personal information can no longer identify you, directly or indirectly.
Finally, the A.P.H.V.O. ensures the protection of personal information, as much as possible, by implementing physical and technological security measures to prevent the personal information it holds from being lost, stolen, disclosed, copied, used, or modified without your authorization.
Third Parties Who May Have Access to Your Personal Information
In addition to authorized members of the A.P.H.V.O. staff whose functions require access to the collected personal information, the following individuals may have access to your personal information:
- Volunteers whose tasks require such access as part of activities organized by the A.P.H.V.O.;
- Certain service providers (e.g., programming firms) may occasionally have access to your personal information to provide the required service, but they are strictly prohibited from using this information for other purposes. The A.P.H.V.O. ensures that a service agreement is signed with each of these providers to ensure the protection of personal information that may be transmitted to them.
- The A.P.H.V.O. may be required to disclose your personal information under applicable laws, for example, to legal counsel or a government agency with the authority to obtain such personal information.
We never disclose your personal information to third parties, except for the individuals mentioned above unless we have obtained your consent.
We do not sell our member list to any organization or company, nor do we exchange it with anyone.
